ChatGPT Training for Employees: Teaching Where Each Kind of Work Belongs

ChatGPT is easy to start using, which is both its strength and the reason so many teams plateau with it. People learn to ask questions and get plausible answers. Fewer learn how to organize ongoing work, how to research in a way they can verify, or when a repeated task deserves its own tool. Good training covers those decisions.

Four Places To Do The Work

One of the most useful things to teach is where a piece of work belongs:

  • A new chat, for a quick, self-contained request
  • A Project, for recurring or long-running work that needs its own files, instructions, and history
  • Deep research, for a complex question that needs many sources gathered and cited
  • A custom GPT, for a stable task that other people will run again and again

Much of the frustration with ChatGPT at work comes from doing Project-sized work in a single chat, or from building a custom GPT for something that should have stayed a saved set of instructions.

Choose The Model For The Task

ChatGPT offers different models and levels of reasoning, and what is available depends on the plan and workspace. Employees do not need to track every release. They should know that a quick rewrite and a multi-step analysis call for different settings, and that the most capable option is not always the most useful one for a simple task.

Citations Are A Starting Point

Search and deep research return answers with sources attached, which makes them look authoritative. Training should make one habit automatic: open the source and confirm that it says what the answer claims. A citation tells you where to look, and the checking is still yours to do.

Check The Numbers Behind The Chart

ChatGPT can analyze an uploaded spreadsheet, find trends and outliers, and produce a clean chart in seconds. The chart is only as good as the method behind it. Teach people to review the calculations, the assumptions, and the code ChatGPT used, and to compare a few results against the original data by hand before the chart goes into a report.

When A Custom GPT Is Worth Building

A custom GPT takes minutes to create and real effort to make reliable. The tasks that justify one share three traits: they repeat, they are useful to other people, and they are supported by stable source material.

Building one well means writing a narrow purpose, keeping the instructions separate from the knowledge files, testing it with ambiguous and out-of-scope questions, and reviewing sharing permissions before others start relying on it. It also means deciding who will maintain it when the source material changes.

What Varies By Plan

Projects, file uploads, research features, custom GPT creation and sharing, connected apps, and usage limits all vary by plan and by workspace configuration. Before training, confirm what your participants can access. Teams on Business or Enterprise workspaces often have options that individual accounts do not, and administrators may have turned some features off.
